RECEPTION PLANNER – PART II

 

Fax or mail the Wedding Consultant approximately (1) week prior to your wedding day or bring with you to the FINAL REVIEW.

You need to call your Wedding Consultant a couple weeks ahead of time to schedule this appointment

 

CHOICE OF ENTREES:

If you would like to offer a choice of entrees, please follow the guidelines below:

Complete your menu just prior to ordering your invitations.  Print the menu selections on the response card of your invitations.  We will request a list from you, which will indicate the quantity of each entrée to be served at each table. 

Once the number of tables is determined, use an index card to represent each table or an excel sheet.  On each card, write down the table number.  Write their entrée choice beside their name, which indicates their meal.

 

Once you have completed the seating, tally up the total number of entrees on each card.

Example:                     1.  Mr.Young              1 Filet

                                    2.  Mrs. Peluso            1 Filet, 1 Sea Bass

                                    3.  Mr. Richter             1 Vegetarian

                                    4.  Ms. Neider                         1 Prime Rib

                                    5.  Ms. Cunningham    1 Vegetarian

                                    Total:  2 Filet; 1 Bass; 1 Prime Rib; 2 Vegetarian

 

Next, please write a sheet with the following information:

This sheet MUST BE COMPLETED BEFORE OR BY THE DAY OF YOUR FINAL REVIEW (This is scheduled the week of your wedding).  Call your Wedding Consultant to schedule this appointment.  Remember, at this time you will be meeting the Banquet Manager who will be implementing your affair.  Please bring the index cards with you as well.  If you have set up the guest list in a database, please feel free to simply bring a pint out of the guests with their entrée choice sorted by table number.**

 

GUARANTEED COUNT

Please call your Wedding Consultant 2 weeks prior to the wedding with a tentative count.  A FINAL COUNT WILL BE NEEDED THE WEEK PRIOR TO YOUR WEDDING.  At that time, the final balance will be pre-paid.  Cancellations will not be accepted; you will be billed based on the guarantee count provided at this time.  The WEDNESDAY BEFORE THE WEDDING BY 10:00 A.M., any changes, need to be submitted.  Any additions will be requested.  No credits apply.

 

FINAL COUNT

As a reminder of your confirmation letter and Wedding Contract, the final payment must be paid with a certified check, cashiers check or cash.  NO PERSONAL CHECKS WILL BE ACCEPTED.  This is the Hotel policy.  Final payment must be received no later than Friday afternoon.  Be sure to make these arrangements in advance so whomever is making the final payment is aware of the terms of agreement.

 

SCHEDULE OF EVENTS

One (1) to Two (2) Months prior to the wedding, get a list of room reservations from the Reservation Manager or Wedding Consultant.  In addition, a seating diagram from your Wedding Consultant.  Most importantly, schedule your final review with your Wedding Consultant.

 

Two weeks prior to the wedding, call and give an estimated guest count (for the wedding cake)

 

Two months in advance please call and request for your draft seating arrangement and discuss your layout with Jennifer Peluso.   

 

BREAKFAST OR BRUNCH

Arrangements the day after

Please speak with your Wedding Consultant, at least Ninety (90) days in advance should you host a breakfast or brunch for your guests staying at the hotel.  A deposit is required to guarantee the space, food and beverage.


 

THE WEEK OF THE WEDDING

Monday/ Tuesday– Call To:

    Review all items that will be brought with you to the final review.

    Finalize your seating arrangement

 

Wednesday – Call To:

    Touch base once again in regards to your count by 10:00 a.m. 

 

Tuesday/Wednesday – Must meet with the Wedding Consultant & Banquet Manager, discussing:

    Review the Banquet Event Order (BEO)

    Arrange any changes:  additions or deletions for the timeline of your special day

    Submit your seating chart

    Make final payment.

    Bring to the hotel all items under the section “Patron to Provide” listed on the BEO.

 

ORDER OF INTRODUCTIONS

Your seating arrangement should be taken into consideration when you have your introductions.  As the Bridal Party is introduced it is best to seat them as uniformly as possible, should you require a Head Table.

 

LIST OF INTRODUCTIONS

Please phrase the introductions exactly as you want the announcer to introduce them. For example:  “And now, being introduced for the first time as husband  and wife, Mr. and Mrs. Smith”

 

PLEASE PROVIDE PRONUNCIATION FOR DIFFICULT NAMES

Next to the names of the parents and flower girl/ring bearer write, “left” or “right” and the table number where they are seated.
